The American College of Surgeons, Maine Chapter would like to invite you to join us for our annual conference at the beautiful Harborside Hotel & Marina in Bar Harbor, Maine. We have a great program planned this year and hope you will make plans to join us!

Reservations should be made by calling the number above or online here: Maine Chapter of American College of Surgeons. When calling, you MUST state that you are with the Maine Chapter, American College of Surgeons meeting to get the group rate ($209-$299 per night plus taxes & fees). Check in time is 4:00pm and Check-out time is no later than 11:00am. Reservations made after the deadline will be based on availability and may be subject to the prevailing hotel room rate.

PARKING

Self-Parking at the Hotel is complimentary. Overnight Valet parking is $15 per night. Parking fees are the responsibility of the individual.

ADDITIONAL PROGRAM INFORMATION

FACULTY DISCLOSURE POLICY: All faculty members participating in this educational program are expected to disclose to the program audience any significant financial interest and/or other relationship with the manufacturers and providers of commercial products and/or services discussed in their presentation and their relationship or financial interest in any commercial contributor to the educational activity.

CONFERENCE CANCELLATION/REFUNDS: If you must cancel, please notify by phone or email. Conference registration fee, minus a $50 administrative fee, will be refunded if notice of cancellation is received prior to 5:00 p.m. on May 5, 2023. No refunds will be granted after May 5, 2023.

AMERICANS WITH DISABILITIES ACT: The Maine Chapter, American College of Surgeons and the Colony Hotel comply fully with ADA rules and regulations. Please notify us if you have special needs.

Exhibitor Information

Exhibit Setup, Breakdown and Networking Hours

Exhibitors will have access to the Exhibit Area at 10:00 AM on Friday, May 12th, 2023. Exhibitors are asked to be set up by 6:30 AM on Saturday, May 13th, 2023 and break down by noon on Sunday, May 14th. Exhibitors are included in the "Play to Win" game, where participants are encouraged to visit each exhibit booth at least once for a chance to win a gift.

Staffing

The exhibit fee of $1500.00 includes two on-site representatives. On-site reps are welcome to join us for reception on Friday night, breakfast, lunch and dinner Saturday and Sunday breakfast. Please note name badges will not be provided for representatives.

Booth Description

We offer table-top exhibits or in lieu of a table you may utilize the space for floor signage. No pipe and drape partition or formal decoration is provided.

Booth Assignments

All exhibits will be located in the same area of the hotel. Exhibits will not be pre-assigned by ACS Staff. All refreshment breaks will be served in the exhibit area.

Individual Call-In deposit and cancellation policies for groups:

All reservations must be made by April 17, 2023 in order to be guaranteed the group rate. In order to receive the group rate when calling to please identify yourself with Maine Chapter of the American College of Surgeons. Rates cannot be changed upon check-in or at check-out times for guests who fail to identify their affiliation at the time the reservation is requested. All reservations must be guaranteed by a major credit card or a first night’s room deposit plus tax. All reservations that are not cancelled at least 7 days prior to the arrival date will be charged as a no show.

Please note that:

Check In time is no earlier then 4:00 PM

Check-out times are no later then 11:00 AM.

Please make sure to make your reservations by April 17, 2023. Otherwise, rates and rooms are not guaranteed.

Room rates are $209-$299 per night plus applicable taxes and fees.
